Author Virtual Assistant – Author Operations & Marketing Support – $5/hr
I am an Independent Author and Creative Entrepreneur. I am looking for a sharp, tech-savvy Virtual Assistant to manage the operational “gears” of my business. You don’t need to be a publishing expert, but you must be a fast learner who enjoys mastering new software and creating organized systems.
Your goal is to handle the administrative and logistics tasks that keep my books selling, allowing me to focus on writing and high-level growth.
- Reader & Review Logistics: * Manage the distribution of ARCs (Advanced Reader Copies). These are digital pre-release copies given to fans in exchange for honest reviews. You will vet applicants, send files, and follow up to ensure they post their reviews on sites like Amazon and Goodreads.
- Storefront & Website Maintenance:
- Help manage my back-end dashboards (platforms like Amazon KDP or Shopify).
- This includes updating book descriptions, checking for broken links, and ensuring my “storefront” looks professional.
- Outreach & Partnerships:
- Researching and contacting indie bookstores or influencers for potential partnerships.
- You will use my “pitch scripts” to reach out via email/phone and track who responds in a spreadsheet or CRM.
- Content Distribution:
- Taking my raw videos or graphics and “staging” them in scheduling tools (like Buffer, Later, or Metricool).
- You’ll help repurpose one idea into multiple formats (e.g., taking a newsletter and turning it into three social media captions).
- Workflow Management:
- Keeping our Project Management tool (ClickUp) up to date. You will ensure deadlines for my editors, designers, and formatters stay on track.
- The “Quick Study” Factor: You are someone who watches a 5-minute YouTube tutorial on a new app and becomes an expert by the afternoon.
- High Attention to Detail: You catch the typos I miss and notice when a link isn’t working before the customer does.
- Proactive Communication: You don’t wait for me to tell you what’s wrong; you flag potential issues and suggest solutions.
- Writing Ability: You can write clear, professional, and friendly emails to my readers and partners.
- Project Management: ClickUp, Notion, or Trello.
- Communication: Slack, Gmail, or Zoom.
- Content/Email: Canva (basic editing), Substack, or MailerLite.
- Publishing-Specific: We will train you on Amazon KDP, IngramSpark, and ARC delivery tools.
