The Editorial Assistant reporting to the Associate Publisher on the Publishing Partner team is adaptative, detail-oriented, confident and a proactive communicator who thrives in building strong relationships. The Editorial Assistant is directly responsible for supporting activities aimed at ensuring the success of AIP Publishing and Publishing Partner publications. In this highly collaborative position, you’ll work closely with Journal Managers to orchestrate and support the preparation, execution, and follow-up of meetings that drive the success of our publishing partner journals and co-published journals.
You’ll collaborate with the Research Engagement Team to track commissioning activities, ensuring we meet our submission goals and providing vital updates on progress.
Additionally, you’ll play a pivotal role in working across other teams—marketing, research integrity, production, sales, and more—to align efforts and achieve strategic journal objectives for our publishing partners.

How you’ll make an impact:
- Coordinate components of the day-to-day journal activities to ensure smooth operations.
- Assist with research and analysis to support all strategic objectives of the journals.
- Coordinate components of the schedules for key publications and planned Special Topics Collections.
- Support the creation and maintenance of regular reports and landscape reviews.
- Coordinate editorial input for marketing efforts to increase journal usage, visibility, and authorship.
- Liaise with Editors, Authors, Reviewers, and various industry stakeholders to support daily publishing operations and project management.
- Collaborate with internal teams to maintain current journal information for online and print products.
- Assist in preparing presentations and supporting documents for conferences and editorial board meetings.

What we’re looking for:
- Bachelor’s degree required
- At least 2 years of work experience in project coordination and data reporting is required
- Familiarity with the scientific research process is preferred, but not required
- Familiarity with scholarly publications in the physical sciences preferred, but not required

Salary Range:
$23.00 – $25.00 hourly
Salary within the above posted range is based on a variety of factors including relevant experience.
