Editorial Admin Assistant [Contract] – From $3,000 a month
Carlat Publishing provides clinicians with practical, engaging, and unbiased psychiatric education. Our goal is to provide information that is actionable, so that clinicians can immediately apply what they learn to enhancing their day to day efforts to provide excellent patient care.
Summary
The Admin Assistant provides essential support to the editorial team, ensuring the smooth production of high-quality CME content. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects and work independently. The ideal candidate is comfortable working with the project management platform, Monday.com, has strong communication and organizational skills.
Administrative Tasks
- Maintain and update editorial schedules, project databases, and workflow tracking systems (e.g., Monday.com).
- Schedule and coordinate approximately ten editorial board meetings per year, including preparing agendas and summary materials.
- Process and track conflict of interest (COI) forms and contributor contracts to ensure timely completion.
- Maintain clear communication with authors, editorial board members, Editors-in-Chief (EICs), and internal teams (operations, accreditation, marketing).
Reporting Structure
The Administrative Assistant reports to the Senior Editor and works closely with the Associate Editor, the Senior Editor for TCPR, and newsletter Editors-in-Chief.
Qualifications & Skills:
- Strong organizational and project management skills; experience with editorial workflow tools is a plus.
- Excellent written and verbal communication skills.
- Ability to multitask and manage deadlines effectively.
- Experience using scheduling tools, such as Calendly.
- Experience in academic, medical, or scientific publishing is a plus.
