Editorial Assistant – $25.64/hour – $32.82/hour
Knowable Magazine, an award-winning digital publication from Annual Reviews, seeks an organized, detail-oriented, and self-motivated Temporary Editorial Assistant. This role supports both the editorial and other operations of a small nonprofit journalism initiative. You will bridge the gap between content creation and digital production, ensuring daily operations run smoothly, and corresponding with freelance writers, fact checkers, readers and editors. This position will also help log and coordinate communications with funders and donors. The ideal candidate has excellent proofreading skills, great communication skills, experience with digital publishing tools, strong administrative capabilities and interest in science. Candidate must be available to work during Pacific Time hours. Candidates must reside in one of the following states where Annual Reviews is registered to do business: CA, CO, GA, HI, IL, IN, MA, MN, NC, NV, NY, OH, OR, PA, SC, WA, or WI.
Specific Responsibilities include:
Digital Production & Content Support
- Content Management System Publishing: Format, produce, enter changes to, and publish articles, images, and static informational pages in the content management system (CMS). Coordinate with IT resources and vendors.
- Newsletter Production: Assemble, test, and schedule weekly email newsletters using Mailchimp.
- Editorial Production: Lightly proofread articles, newsletters, emails, and social media copy in layout. Add backlinks and prepare production documents for editors.
- Copy Coordination: Coordinate and communicate schedules with part-time researchers, copy editors, and story editors to ensure publication schedules are met.
- Fact-Checking: Conduct light fact-checking to verify names, dates, and primary-source details in newsletters and other non-article items as needed.
Development & Funder Relations
- Fundraising Campaigns: Support content creation, production, scheduling, and reporting for fundraising emails.
- Donor Coordination: Track individual donations, log communications, and maintain accurate donor databases.
- Funder Correspondence: Manage communication workflows with potential funders and philanthropic partners. Update the funder database.
- Donor Stewardship: Help the team coordinate efforts to draft and send timely, personalized thank-you notes to supporters and arrange other communications.
Administrative & Business Coordination
- Inbox Management: Monitor the general inbox, responding to inquiries or routing emails appropriately.
- Freelance Logistics: Prepare, distribute, and track contracts and other paperwork for freelance writers, editors, and illustrators. Log unsolicited pitches to help ensure timely replies are sent.
- General Support: Perform other administrative and operational duties to support the team as needed.
Qualifications Required:
- Bachelor’s degree in journalism, English, communications, or a science-related field with substantial coursework or experience in communications.
- 1–2 years of experience in a digital media, publishing, or nonprofit environment.
- Proficiency with WordPress or similar CMS platforms and Mailchimp; willingness to learn Bloomerang and Qgiv; proficiency with Microsoft Office Suite and Airtable.
- Exceptional written communication skills with a sharp eye for typos and formatting errors. Some familiarity with the AP Stylebook preferred.
- Ability to handle repetitive administrative tasks alongside time-sensitive editorial deadlines.
- Interest in science communication and nonprofit journalism.
